Brokerage CRM

A real estate CRM for brokerages, where agents keep their contacts.

Every agent gets a private CRM with stages, tasks, notes, a calendar, and mail from their connected account. Leads route to the right agent. When a deal goes under contract, it becomes the brokerage's file.

Agent contacts

A CRM agents will put their whole sphere into.

Contacts, notes, and tasks are the agent's. The broker cannot browse them.

An agent's private contact list: 412 contacts in their sphere with stage, type, and last touch, and the note on who can see them: the broker sees only name, phone, email, and city for a client on a brokerage file, and beyond that, the agent can let the named coach read the contacts they own, read only, or the broker needs a recorded break-glass request or a departure review.

The privacy model

Agents keep their contacts. The brokerage keeps the files.

The agent's book.

Contacts, notes, and tasks are the agent's. The broker cannot browse them. An agent can let the named coach read the contacts they own, and take that back. Otherwise it takes a break-glass grant that expires, is logged, and shows on the agent's contacts screen.

Teams.

On a team, the team lead and the team's admin see their members' contacts, and leads the team hands out are the team's. The rules are written down, and members see them in the CRM.

The brokerage file.

When a deal becomes a transaction, the file is the brokerage's. The broker sees a client's name, phone, email, and city on the file, never the agent's notes, tasks, or timeline.

When an agent leaves, the office sees a list: contacts that are the agent's, contacts that are the team's, and any it cannot tell. The conversation is about that list.

Lead pool

A routed lead becomes the agent's contact when they claim it.

Inquiries from agent pages, the brokerage site, and general requests each go to the right place.

The lead pool as the broker's desk sees it: website inquiries by source, each with a response deadline, a Claim button, and routing to an agent; a claimed lead shows only whose sphere it went to.

Pipeline

From the first inquiry to the agent's statement.

The agent's pipeline

Stages, tasks, notes, and campaigns and sequences that the agent sends, from their own connected account.

Fit

Who it is for, and who it is not for yet.

A good fit

  • A brokerage that wants agents to use the office CRM, not a personal one on the side
  • Teams with their own rules inside the brokerage
  • An office that routes website inquiries to agents
  • Agents who want their cap and statements next to their contacts

Not a fit yet

If you want the broker to browse every agent's contacts. Apsidra keeps the agent's book private by design.

If you want a lead-buying service. Apsidra routes inquiries you already get.

Pricing

A monthly number for the office.

Apsidra is quoted as a monthly number for the office, after a walkthrough. The number covers setup and running it. MLS fees stay yours. Setup and support happen online, so the office can be in any state.

Questions

Questions brokers ask.

Can the broker see my contacts?

Not your book. The broker cannot browse an agent's contacts, notes, or tasks. When a client is a party on a brokerage file, the broker sees that client's name, phone, email, and city, never the agent's notes, tasks, or timeline. An agent can let the brokerage's named coach read the contacts they own, and take that back. Anything more takes a break-glass grant that expires, is logged, and shows on the agent's own contacts screen.

How do leads get routed?

Through the lead pool. An inquiry from an agent's own page goes to that agent. A brokerage inquiry that says what it is about goes to the broker's desk to assign. A general inquiry goes to the next agent on the rotation. The agent claims it, and it becomes their contact.

How do teams work?

On a team, the team lead and the team's admin see their members' contacts, and leads the team hands out are the team's. The rules are written down, and members see them in the CRM.

Can agents import and export contacts?

Yes. Agents can import their contacts and export them any time.

What happens when an agent leaves?

The office sees a list: contacts that are the agent's, contacts that are the team's, and any it cannot tell. Open files stay with the brokerage.
